The House of Chelsea Weddings

Terms and Conditions

Effective date: 30 October 2026

These Terms and Conditions govern the use of The House of Chelsea Weddings website and the wedding coordination services provided by The House of Chelsea Weddings (referred to as “The House”, “HOC”, “we”, “us” or “our”).

By submitting an enquiry or proceeding with a booking, you acknowledge that you have read and understood these Terms and Conditions.

1. About The House of Chelsea

The House of Chelsea Weddings provides wedding coordination and planning services for weddings held at participating historic Christian churches and their associated reception venues.

Our purpose is to make the arrangements for a church wedding and associated reception straightforward, dignified and well coordinated, while supporting the ongoing use and preservation of church properties.

The House acts as the coordinating party for the arrangements included in the selected wedding package. We are not the owner or operator of the participating church, reception venue or independent suppliers.

2. Enquiries and Booking Confirmation

An enquiry submitted through our website does not constitute a confirmed booking.

All proposed wedding dates are subject to confirmation by the relevant church.

The House will not enter into a booking agreement with a couple until:

  • The church has confirmed that the proposed date is available.
  • The church has indicated its willingness to conduct the wedding.
  • The proposed arrangements have been discussed and accepted by The House and the couple.

A booking is only confirmed when the required agreements have been completed and the couple has received written confirmation from The House.

An enquiry, preliminary discussion, proposed date or availability indication does not guarantee a booking.

The House reserves the right to decline an enquiry or proposed booking where the arrangements cannot be accommodated.

3. The House Fee

The House charges a separate fee for its wedding coordination services (the “House Fee”).

The applicable House Fee will be identified in the couple's quotation or booking documentation.

The House Fee is payable to The House and relates exclusively to the services provided by The House.

The House does not collect, hold or distribute payments on behalf of churches, reception venues or independent suppliers.

All payments for church, venue and supplier services are made directly by the couple to the relevant provider, under the payment arrangements agreed between them.

The House Fee does not include payments owed directly to independent suppliers unless expressly stated otherwise in the couple's written proposal.

Payment dates and any applicable payment arrangements will be set out in the booking documentation or invoice.

4. Churches, Reception Venues and Independent Suppliers

Churches, reception venues and suppliers engaged in connection with a wedding remain independent providers.

Their services are subject to their own terms, conditions, availability and contractual arrangements.

The House coordinates the arrangements between the couple and the participating providers but does not assume ownership or operational control of their businesses or properties.

The couple acknowledges that:

  • Church services and ceremonies are subject to the requirements and decisions of the relevant church.
  • Venue access, availability and conditions of use are determined by the venue.
  • Catering, photography, entertainment, hire equipment and other services are provided by independent suppliers.
  • Payments for these services are made directly to the relevant providers.
  • Any disputes concerning a provider's services, charges or contractual obligations should ordinarily be raised directly with that provider.

The House will coordinate approved suppliers in accordance with the agreed wedding arrangements.

Suppliers may not be substituted or engaged outside the agreed arrangements without prior discussion and approval from The House.

The House may assist with communication and coordination where a supplier issue arises, but is not responsible for an independent provider's failure to perform its own contractual obligations.

5. Changes to Wedding Arrangements

Any proposed change to the wedding date, venue, package or agreed arrangements must be communicated to The House.

A change of wedding date is subject to:

  • Confirmation that the church is available and willing to conduct the wedding on the proposed alternative date.
  • Agreement from the couple and The House.
  • Confirmation of availability and arrangements with affected independent suppliers and venues.

A change is not confirmed until The House has provided written confirmation.

Additional costs arising from changes may be payable by the couple directly to the relevant provider or, where applicable, to The House.

The House is not responsible for costs imposed by independent suppliers as a result of changes requested by the couple.

6. Cancellation and Postponement

If the couple wishes to cancel a confirmed booking, they must notify The House in writing as soon as reasonably possible.

The following cancellation framework applies to the House Fee:

  • More than three months before the wedding: No House Fee is payable on cancellation.
  • Between three months and six weeks before the wedding: 50% of the House Fee is payable.
  • Within six weeks of the wedding: 100% of the House Fee is payable.

The applicable cancellation amount will be calculated by reference to the scheduled wedding date.

Any House Fee already paid will be credited against the applicable amount, and any excess will be refunded.

These cancellation provisions do not determine the cancellation charges or refund rights applicable to churches, venues or independent suppliers. Those arrangements are governed by the relevant provider's agreement with the couple.

Postponement

A request to postpone a wedding will be treated as a proposed change of date rather than an automatic transfer of the existing booking.

A new date must first be confirmed by the church. The House and the couple must then agree to the revised arrangements, including the availability and terms of affected suppliers.

Any additional costs imposed by independent providers remain the responsibility of the couple.

The House will confirm any changes to its own fee or arrangements in writing.

Failure of The House to Provide Its Services

If The House is unable to provide the agreed coordination services, and the failure is such that the agreed service cannot reasonably be delivered, the couple may be entitled to a refund of the House Fee paid.

The circumstances and appropriate remedy will be considered fairly, having regard to the services already provided and the couple's rights under applicable law.

Nothing in this section limits any rights or remedies available under the Australian Consumer Law.

7. Supplier Payments and Responsibilities

The couple is responsible for making all payments owed to churches, venues and independent suppliers by the agreed payment deadlines.

The House may request confirmation from suppliers that payments due have been received and that their bookings remain confirmed.

Such confirmations assist The House in coordinating the wedding and identifying matters requiring attention.

The House does not guarantee that a supplier will receive payment from the couple or that a supplier will continue to provide services if its payment requirements are not met.

The couple remains responsible for resolving payment matters directly with the relevant provider.

8. Wedding Day Responsibilities

The couple is responsible for ensuring that the wedding party and guests comply with the reasonable requirements of the church, reception venue and other participating providers.

This includes requirements relating to:

  • Access to and use of church and venue property.
  • Respectful behaviour and appropriate conduct.
  • Decorations, candles, furniture and equipment.
  • Noise restrictions and finishing times.
  • Alcohol service, where applicable.
  • Cleaning, rubbish removal and restoration of the premises.

The couple may be responsible for damage, additional cleaning or other costs arising from the actions of the couple, wedding party or guests, subject to applicable law and the relevant venue arrangements.

The House will communicate relevant requirements as part of its coordination service but does not assume responsibility for the conduct of individual guests.

9. Photography and Guest Access

Where guest wedding photographs are made available through The House, access will be provided through an external sharing service, such as Proton Drive.

The House does not operate a permanent online wedding photograph gallery.

Where photographs are made available:

  • Access details will be provided through the designated guest information area of the wedding portal.
  • Access is intended for the invited wedding guests.
  • Guest access through the portal will ordinarily be available until midnight Sydney time at the end of the fourteenth day following the wedding.
  • Access through the portal will then be withdrawn.

The external sharing service may have its own access settings and expiry arrangements. The portal access period and the external sharing link's actual expiry are separate matters.

The House cannot guarantee that a link which has already been copied or shared by a guest will cease to work merely because the portal no longer displays it.

Guests are responsible for respecting the privacy of the couple and other people appearing in the photographs. Photographs should not be redistributed or published without appropriate permission.

10. Website and Client Portal

The House website and associated client and guest portals are provided to facilitate enquiries, communication, wedding administration and the distribution of relevant information.

Access to particular portal functions may depend on the status of the wedding and the user's role.

Users must:

  • Provide accurate information when using the website or portal.
  • Keep their access links and login details confidential.
  • Not attempt to access another person's private wedding information.
  • Not misuse, interfere with or attempt to compromise the website or portal.

The House may temporarily restrict access where maintenance, security or operational requirements make this necessary.

The House will take reasonable steps to maintain the availability and security of its website and portal but cannot guarantee uninterrupted access.

11. Privacy and Personal Information

The House collects and uses personal information for purposes connected with enquiries, wedding coordination, communication, administration and the provision of agreed services.

Information may include names, contact details, wedding arrangements and relevant guest information.

Personal information may be shared with the church, venue or relevant independent suppliers where reasonably necessary to coordinate the wedding.

The House does not sell personal information.

Personal information will be handled in accordance with applicable privacy laws and the House's Privacy Policy.

Further information about the collection, use, storage and retention of personal information should be read in conjunction with the Privacy Policy published on this website.

12. Website Information and Availability

The House takes reasonable care to ensure that information published on its website is accurate and current.

However, website information, package descriptions, photographs, illustrations and indicative arrangements are provided as a general guide.

The actual arrangements for a wedding will be those confirmed in the couple's written proposal and booking documentation.

Church and venue availability, supplier offerings, prices and other arrangements may change.

The House reserves the right to update website content and package information from time to time. Changes to an existing confirmed booking will be communicated to the couple and will not be imposed retrospectively without an appropriate basis.

13. Liability and Consumer Rights

The House will exercise reasonable care and skill in providing its agreed coordination services.

To the extent permitted by law, The House is not responsible for the independent acts, omissions, performance or contractual obligations of churches, venues or suppliers.

Nothing in these Terms and Conditions excludes, restricts or modifies any right, remedy, guarantee or protection that cannot lawfully be excluded, restricted or modified under the Australian Consumer Law or other applicable legislation.

Where The House is responsible for a failure to provide its own agreed services, the couple's rights and remedies will be determined in accordance with applicable law and the circumstances of the matter.

14. Circumstances Beyond Our Control

The House, churches, venues and suppliers may occasionally be affected by circumstances beyond their reasonable control.

These may include severe weather, natural disasters, government restrictions, public emergencies, serious illness, infrastructure failures or other events that make the agreed arrangements impracticable or impossible.

Where such circumstances arise, The House will communicate with the couple and relevant providers and make reasonable efforts to assist with alternative arrangements.

Any changes, postponements, cancellations or refunds will be considered in accordance with the relevant agreements and applicable law.

15. Complaints and Dispute Resolution

Any concern or complaint about the services provided by The House should be raised with The House in writing.

The House will consider the matter and make reasonable efforts to resolve it promptly and fairly.

Where a complaint relates to the independent services of a church, venue or supplier, the couple may also need to raise the matter directly with that provider.

Nothing in this section prevents either party from exercising any legal rights or seeking assistance from an appropriate consumer protection or dispute resolution body.

16. Amendments to These Terms

The House may update these Terms and Conditions from time to time.

The version applicable to a confirmed booking will ordinarily be the version provided to the couple when the booking agreement is entered into, unless a later change is agreed in writing or required by law.

The current version will be published on this website.

17. Governing Law

These Terms and Conditions are governed by the laws of New South Wales, Australia.

The parties submit to the jurisdiction of the courts and tribunals of New South Wales, subject to any applicable rights under Australian law.
